Registration Guidelines

 

All participants must register via the Online Registration Form. Please read the instructions below carefully.

Upon submitting the Online Registration Form, each participant will receive a unique registration number by email. Please do not send any payments by bank transfer without the Registration number and participant’s name included in payment details. Such payments cannot be identified.

Online registration closes on 10 July 2017 after which date you can register only on-site.

* The official proof of university student status should be uploaded as a PDF attachment to the predefined field in online registration form.
AMI / AMS trainees are not eligible for the Student Registration.

A discount of 20 EUR applies for delegates that register for both the Aging Symposium and the 28th IMC Congress at once

Registration fees include VAT.

Please make sure to pay your registration fee within the time frame for the registration type applicable at the date of your registration. If your payment is not received before the deadline the latter fee will be automatically charged. Unpaid registration will not be considered valid until it is fully paid and confirmed.

Social Events

Participants are kindly requested to reconfirm attendance of all social events in the Online Registration Form. Please note that the booking of the various tours and events will be confirmed following payment on a “first come, first served” basis and numbers may be restricted.

Insurance

The registration fee does not include participant’s insurance against accidents, sickness, cancellation, theft, property damage or loss. Participants are advised to take out adequate personal insurance.

Confirmation

Upon completing the Online Registration Form, each participant will receive the registration overview and email notification confirming the received payment and eventually stating the amount outstanding.

Payment

All fees should be paid in EUR (€), free of all bank charges.

Online Payment by Credit/Debit Card

In case of rejected online credit/debit card payment, the delegate is recommended to log into the Online Registration Form and try to process the registration and the payment again. Should the trouble with the payment persist, the participant is advised to contact the credit/debit card issuer/bank first and check if online transactions are not disabled on the credit/debit card. Afterwards, the registration can be processed again.

All online payments are processed via GP webpay secure connection. GP webpay conforms to international standards and it meets the strictest safety requirements of the MasterCard SecureCode and Verified by VISA standards as defined by the MasterCard and VISA card associations. These standards are designated as 3D Secure and they ensure maximum payment security.

Final Invoice

The final invoice will be provided to the participants only upon request, the Secretariat will not send this document automatically. Please contact us to ask for your receipt.

Cancellation / Refund Policy

Cancellation of Registration
  • Until 29 May 2017 – 50 EUR – administrative fees will be deducted from all refunds
  • From 30 May 2017 until 27 June 2017 – reimbursement of 50% of the fee will be paid
  • From 28 June 2017 – no refund can be processed under any circumstances
Cancellation of Other Bookable Items
  • Until 27 June 2017 – 20 EUR – administrative fees will be deducted from all refunds
  • From 28 June 2017 – no refund can be processed under any circumstances


All cancellations must be notified in writing (by mail, fax or email) to the Congress according to the following conditions:

  • Requests for refunds made after 10 September 2017 will not be considered.
  • All registrations received by 10 July 2017 will be included in the list of participants.
Transferring of registration

It is possible to transfer an existing registration to another person if you can no longer attend the conference. The transfer fee is charged at 100€.

All transfer of registrations must be notified to the Conference secretariat in writing. Please send the existing registration name and registration number with a completed offline registration form for the person who the registration is being transfered to.

Consent To The Processing of Personal Data

Data Protection Directive

Officially Directive 95/46/EC on the protection of individuals with regard to the processing of personal data and on the free movement of such data.

I agree to the collection, preservation and processing of personal data contained in this form, by the administrator, C-IN, Prague Congress Centre, 5. května 65, Prague 4, 140 21 (or its employees) for the purpose stated below. This consent is granted for all of the information contained in this form, and throughout the five years from the date of consent. At the same time I am aware of their rights under § 12 and 21 of Act No. 101/2000 Coll. on the protection of personal data. I am familiar with all completed parts of this form, and I declare that all information is accurate and truthful and are provided voluntarily.

Purpose of Processing Personal Data

In accordance with § 5 of Act No. 101/2000 Coll. on the protection of personal data, all information given on this form is collected and processed solely for purposes of processing registration and accommodation requirements for the IMC 2017 and for sending related messages to the data subject via electronic means pursuant to Act No. 480/2004 Coll. Summarized data from this form may be used by the administrator for internal statistical purposes and for internal use of the administrator.

Statement by Administrator

Data administrator declares that they will collect personal data to the extent necessary to accomplish the intended purpose and may be processed only in accordance with the purpose for which they were collected. Employees of the administrator or other individuals who process personal data under contract with the administrator and other persons are obliged to maintain the confidentiality of personal data, even after termination of employment or work.

Responsibility

The participant acknowledges that he/she has no right to lodge damage claims against the organisers should the holding of the event be hindered or prevented by unexpected political or economic events or generally by force majeure, or should the non-appearance of speakers or other reasons necessitate programme changes. With registration, the participant accepts this proviso.
