How to make a Hotel Reservation
Online booking is available for registered participants. Hotel bookings can only be made during/after the registration process.
Participants are advised to reserve accommodation by 20 June 2017. Although requests will be accepted after this deadline, we cannot guarantee your reservation, as hotel rooms are subject to availability.
All rates stated include breakfast, service charge and local 15% VAT. Rooms at special rates are being held in hotels of different categories. Rooms will be allocated on a first come, first served basis.
All rates are valid as at the day of booking, but please note that the rates may change. In case of a possible rate change the Secretariat is not obligated to refund any overpayment. Should the statutory VATpercentace go up, the rates will change accordingly and the difference will be charged.
Full prepayment can be made by a credit/debit card or a bank transfer. Bank transfer payments will be accepted until 25 June 2017 only. All extra charges must be settled directly with the hotel upon departure.

Please do not send any payments by bank transfer without referencing your Registration Number and participant’s name. Without such details payments cannot be identiﬁed. As of 25 June 2017 you are kindly requested to make all payments by credit/debit card.

Online Payment by Credit/Debit Card
Should your credit/debit card payment fail to go through, we recommend that you log into into the Online Registration Form and try processing the booking and the payment again. Should problems with the payment persist, participants are advised to contact the credit/debit card issuer/bank first and check if perhaps online transactions are disabled on the credit/debit card. Afterwards, the booking can be processed again.

All online payments are processed via GP webpay´s secure platform. GP webpay conforms to international standards and meets the strictest safety requirements of the MasterCard SecureCode and Verified by VISA standards as defined by the MasterCard and VISA card associations. Shuttle services are provided for Park Inn Hotel and Barceló Hotel from where free morning transfers to the Prague Congress Centre are scheduled.
Cancellation / Change of Reservation
Any changes requested with regard to your accommodation booking must be sent in writing (email or fax) to C-IN and cannot be made online.C-IN cannot accept cancellations or changes made by phone. Please do not contact the hotel directly as reservations are held by C-IN. In case of an arrival time later than reserved, please inform the Secretariat in order to ensure that the room is held for you.
Cancellation / Refund Policy
If requests for cancellation or your hotel booking or a reduced number of nights are received before 29 May 2017, the full deposit will be refunded less a handling fee EUR 30,-
For cancellations received before 30 May 2017 a deposit of 1 night will be charged
All nights will be charged in the case of cancellations received later than 30 June 2017 and no refunds will be made (C-IN reserves the right to charge your credit/debit card for all nights booked OR not to refund the full prepayment)
- In case of no-show, later arrival or earlier departure all nights as reserved will be charged.
Confirmation of Reservation and Final Bill
After completing the hotel booking, you will receive a notification to acknowledge receipt of your reservation request. Please note that this is not proof of a confirmed booking. Confirmation of the hotel booking will be issued only after prepayment has been received and will be sent by email to the participant by the Secretariat. This confirmation should be presented to the hotel reception during check-in. Please do not contact the hotel with any questions concerning the confirmation of accommodation as C-IN is responsible for administrating all bookings via its database and is the only one charged with sending such confirmations. The final invoice will be issued by C-IN only upon request of the party making the booking. The hotel will then issue the invoice for the remainder of the nights (if applicable) and any extras. Most hotels will draw up the final invoice in local Czech currency (Czech Crowns) according to the daily exchange rate stated by the Czech National Bank.
Check-In / Check-out
Check-in time will be from noon until 15:00. Early check-in can be requested, but cannot be guaranteed. Early check-in is subject to room availability on the day of arrival. Check-out is generally at 10:00. Late check-out is also subject to the room availability and some hotels may charge a daily rate.
